Was this project a fundraiser? Yes
Description of project We reached out to our musician friends asking them to volunteer one hour of their time to play a set on a Sunday afternoon at a downtown pub. The pub owner donated a sound technician. The event started at 3pm and concluded at 10pm. Admission was by donation and we sold tickets on a couple of prize baskets and a certificate tree. About 70% of our members were able to attend. As this was a very low stress and a very low cost project (we purchased $25 in lotto tickets for the certificate tree) we promoted it as a fellowship event to clubs in our Zone and to our friends and family. We had a great turnout and all funds raised were donated to two groups that support homeless people.
Service Hours 1-20
Did you leverage this project as a way to recruit new members? Yes
If you answered yes to the question above, please explain: We invited friends and family to this event. There are always potential members within this group. We wanted them to see some of the community service we do and that we have fun working on our projects.
How was this project promoted in your community? Primarily though social media. The two groups who were to be the recipients of our efforts retweened and shared our posts. The owner of the pub also did this and it was picked up by the downtown associations.
What were some challenges you faced with this project, and how could your project be improved? I don't think we faced any challenges as this came together very quickly once we had a location to hold it at. It could be improved by moving it to a different time of the year; February means weather is a risk and parking in the downtown is challenging. We did not get as much out of our gift baskets as we opted not to push ticket sales on the patrons. A higher visibility location within the pub to sell tickets would be beneficial.
What was the approximate budget for this project? Less than $1,000
If the project was a fundraiser, what were the sources of revenue for this project? Admission to the event was by donation at the door. Ticket sales on gift baskets and certificate tree.
If this was a fundraiser, how much money was raised (minus expenses)? Not Applicable
What were the expenses for this project? $25 lotto tickets for certificate tree. All other costs were in kind.
Is there anything else you would like to share that would assist another club in duplicating this project in their community? Our committee felt we did not get the most out of this event as we could have. We think this project would run well in a warmer month. You really need to have a sound technician on site to ensure the best sound possible. We would limit ticket sales to the certificate tree as about 80% of all tickets sold were on this item.
